Job Description: Procurement Specialist (Equipment / Logistics)
Position Title
Procurement Specialist – Equipment / Logistics
Location
(Insert location: e.g., Shanghai / Suzhou / Sydney / Manufacturing Site)
Position Summary
The Procurement Specialist is responsible for executing purchasing activities for equipment, spare parts, and logistics services. This role manages supplier communication, quotation analysis, purchase order execution, delivery coordination, and documentation control. The position ensures timely, cost‑effective, and compliant procurement to support production operations, engineering projects, and logistics needs.
Key Responsibilities
1. Purchasing Execution & Order Management
Execute end‑to‑end purchasing activities including RFQ, quotation comparison, PO creation, and order follow‑up
Manage procurement of equipment, spare parts, tools, and logistics services
Track delivery status and resolve issues such as delays, shortages, or quality concerns
2. Supplier Communication & Coordination
Serve as the primary contact for routine supplier interactions
Confirm pricing, lead times, technical specifications, and service requirements
Support supplier evaluation, onboarding, and performance monitoring
3. Cost Analysis & Contract Support
Collect market price information and conduct cost comparisons
Support commercial negotiations and contract preparation
Ensure procurement activities comply with company policies and audit requirements
4. Logistics Coordination (Logistics Focus)
Coordinate transportation arrangements, logistics service providers, and shipping documentation
Track shipment status and ensure timely, accurate delivery
Handle logistics exceptions such as delays, damages, or cost disputes
5. Equipment Procurement Support (Equipment Focus)
Assist with technical communication, specification confirmation, and supplier documentation collection
Follow up on equipment manufacturing, shipment, installation, and commissioning progress
Support equipment acceptance, warranty claims, and after‑sales coordination
6. Data & Documentation Management
Maintain accurate procurement data, supplier records, and contract files
Update ERP system information and ensure data accuracy
Prepare regular procurement reports (cost, delivery performance, supplier KPIs, etc.)
Qualifications
Education
Bachelor’s degree in Supply Chain, Logistics, Mechanical Engineering, Business Administration, or related fields preferred
Experience
1–3 years of experience in procurement, logistics, supply chain, or related roles
Experience in equipment purchasing, spare parts procurement, or logistics service procurement is a plus
Manufacturing industry background preferred
Skills
Good understanding of procurement processes and supplier management
Strong communication and coordination skills
Proficiency in ERP systems (SAP/Oracle) and MS Office
Basic technical understanding (for equipment focus) or logistics knowledge (for logistics focus)
Strong attention to detail and cost awareness
