About the Company
We are an international healthcare company establishing and expanding our presence in China. As part of our growth journey, we are looking for a proactive and highly organized Office Manager to support our daily operations and help build a professional and efficient working environment.
This is a key position within the organization, serving as the central point of coordination across administration, finance, office operations, and business support functions.
Position Summary
The Office Manager will be responsible for overseeing office administration, coordinating operational activities, and providing financial and business support to the local leadership team. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a dynamic, fast-growing environment.
Given the international nature of the organization, excellent written and spoken English is essential to ensure effective communication with global stakeholders and support smooth day-to-day operations.
Key Responsibilities
Office Administration & Operations
Manage the day-to-day operations of the office and ensure a professional, efficient, and compliant working environment.
Act as the primary contact for office-related matters, including facilities management, office vendors, and service providers.
Coordinate travel arrangements, business meetings, company events, and visitor management.
Manage office procurement, supplies, equipment, and service contracts.
Maintain company records, documentation, and administrative procedures.
Support onboarding activities and logistics for new employees.
Financial Administration & Business Support
Support invoice processing, payment tracking, expense reimbursement, and vendor management.
Coordinate with external accounting firms and regional finance teams to ensure smooth financial operations.
Assist with budgeting, expense monitoring, and financial reporting activities.
Maintain accurate financial and administrative records in accordance with company policies.
Support audit preparations and compliance-related documentation.
Provide operational and administrative support to local management and regional leadership teams.
Communication & Stakeholder Management
Liaise effectively with internal teams, external partners, healthcare stakeholders, and service providers.
Support communication between the China office and regional/global teams.
Draft, review, and coordinate business correspondence, reports, presentations, and meeting materials in English and Chinese.
Support cross-functional coordination to ensure smooth execution of business initiatives.
Qualifications
Education & Experience
Bachelor's degree in Business Administration, Finance, Accounting, Management, or a related discipline.
Minimum 5 years of relevant experience in office management, administration, executive support, operations, or finance administration.
Previous experience in a multinational corporation (MNC) is highly preferred.
Experience in the healthcare, medical device, pharmaceutical, or life sciences industry is an advantage.
Skills & Competencies
Excellent written and verbal communication skills in both English and Mandarin Chinese.
Strong proficiency in Microsoft Office applications, especially Excel, PowerPoint, Word, and Outlook.
Strong organizational and project coordination skills with the ability to manage multiple priorities.
High attention to detail and strong problem-solving capabilities.
Ability to work independently, exercise sound judgment, and maintain confidentiality.
Proactive, hands-on, and adaptable mindset suited to a growing business environment.
